Job Overview:
Our Rheumatology clinic is seeking an organized and proactive Site Coordinator to oversee the day-to-day operations. This dual-focus role balances clinical operations management with administrative responsibilities, serving as the central point of contact between providers, clinical staff, and the Kassouf Healthcare Solutions management team. The ideal candidate is a natural leader with a strong healthcare background who thrives in a fast-paced specialty environment and is passionate about delivering an exceptional patient experience.

Responsibilities:
Clinical Operations:
  • Oversee daily clinic workflow to ensure efficient patient throughput and high-quality care delivery.
  • Supervise and support clinical staff, including Medical Assistants and front office personnel.
  • Serve as a liaison between providers and staff to identify and resolve operational challenges in real time.
  • Monitor compliance with infection control protocols, OSHA standards, and clinical policies and procedures.
  • Assist with onboarding and training of new clinical staff, ensuring alignment with practice standards.
Administrative & Scheduling:
  • Manage staff scheduling to ensure adequate coverage across all clinic hours.
  • Oversee patient scheduling workflows, ensuring appointment templates are optimized for provider productivity.
  • Support the prior authorization process for specialty medications in coordination with clinical staff.
  • Maintain accurate records, incident reports, and operational documentation in compliance with healthcare regulations.
  • Serve as the primary point of contact for facility-related needs, vendor communications, and supply management.
  • Identify opportunities to improve clinic efficiency, patient satisfaction, and staff engagement.
  • Act as the on-site point of contact during provider absences or escalated patient situations.
Skills & Qualifications:
  • High school diploma or equivalent required; associate's or bachelor's degree in Healthcare Administration, Business, or a related field preferred.
  • Minimum of 2–3 years of experience in a healthcare setting, with at least 1 year in a supervisory or lead role.
  • Experience in a specialty practice preferred; rheumatology or internal medicine background a plus.
  • Proficiency with EHR systems and scheduling platforms; experience with practice management software preferred.
  • Strong working knowledge of medical office operations, including scheduling, prior authorizations, and basic revenue cycle concepts.
  • Excellent interpersonal and leadership skills with the ability to motivate and manage a diverse clinical team.
  • Highly organized with strong problem-solving skills and the ability to manage competing priorities.
  • Professional communication skills for interaction with patients, providers, and corporate partners.
